Job Description, Responsibilities, Standards, and Qualifications

Job Description:
Under the general supervision of the President, the Executive Assistant maintains and coordinates the daily activities and efficient functions of the president's office. She or he may represent the president in various matters by attending local, national, and international meetings; may serve as a liaison between HCEF and outside organizations; may serve as a liaison between the president and the board members; may assist in areas of personnel, budget, purchasing, public relations and organizational structure/procedures and use of resources; and may supervise subordinate personnel. The Executive Assistant creates and maintains a high performance environment characterized by positive leadership. She or he displays a high level of effort and commitment to performing work; operates effectively within the organizational structure; demonstrates trustworthiness and responsible behavior. She or he provides secretarial and clerical support to the president, maintains the filing and record keeping systems, coordinates data collection, and generates reports.


Job Responsibilities & Performance Standards:
1. Organizes and coordinates daily activities and efficient function of the president's office.

1. Coordinates calendars, travel itineraries and maintains associated records for president and/or board members.
2. Effectively develops and coordinates managerial and administrative meetings and agendas, negotiating favorable rates for any facilities and materials needed.
3. Schedules appointments at the president's request.

2. Represents president in various matters by attending local, national, and international meetings. Serves as liaison between HCEF and outside organizations.

1. Represents president in a professional manner, interprets and answers general policy questions that may arise using sound judgment. Keeps president informed of discussions and other valuable information conveyed within established time frame.
2. Maintains good rapport within HCEF, with private sector representatives and the general public by being courteous, cooperative and conscientious.
3. Serves on HCEF committees as assigned by the president.
4. Communicates accurate information , directives, assignments, instructions, and messages to others in a courteous and professional manner.
5. Is knowledgeable of protocol when visitors are hosted by HCEF. Maintains personable and professional demeanor with HCEF constituents.

3. Supports the President in program operations.

1. Provides administrative support to the president in operating HCEF's Holy Land Crafts, Child Sponsorship and other programmatic activities.
2. Supports clergy needs related to Holy Land Days and other outreach efforts with correspondence, scheduling and other needs.
3. Assists and supports the president with marketing requirements, including scheduling, correspondence and following up on leads.

4. Serves as liaison between the president and board members.

1. Coordinates board meetings and committee meetings as needed to include preparation of agenda and all materials pertinent to the meetings. Prepares room for meetings.
2. Responsible for all correspondence or information relative to board members.
3. Submits expense statements, including per diem fees, for board members.
4. Maintains official board minute's books and files. Transcribes meeting minutes within established time frame of meeting.

5. Assists in operation, management and planning in such areas as personnel, budget, purchasing, public relations, organizational structure/procedures and use of resources.

1. Effectively develops, prepares and/or manages assigned budgets through sound analytical reporting and financial management practices.
2. Independently procures and maintains necessary supplies, equipment, services and/or facilities through appropriate means such as soliciting bids, preparing and approving contracts and/or monitoring organizational needs.
3. Efficiently manages or coordinates human resource activities such as preparing and submitting personnel and position actions, organizing and maintaining personnel records and/or recruiting and orienting new staff.
4. Assists president in establishing organization's goals and objectives by coordinating or preparing analyses of administrative and/or operational needs.

6. Creates and maintains a high performance environment characterized by positive leadership.

1. Defines goals and/or required results at beginning of performance period.
2. Communicates regularly with subordinate staff on progress toward defined goals and/or required results; provides specific feedback and initiates corrective action when defined goals and/or results are not met.
3. Motivates staff to improve quantity and quality of work performed and provides training and development opportunities as appropriate.

7. Coordinates data collection and generates reports.

1. Researches, collects, and analyzes data accurately and thoroughly from reports, files, databases and other sources.
2. Compiles information for the timely preparation of reports and distributes to appropriate individuals within established timelines.
3. Searches for information using the Internet or personal computer to locate information necessary to complete project.
4. Designs and updates report formats that are easily read and understood by
internal and external customers.

8. Displays a high level of effort and commitment to performing work; operates effectively within the organizational structure; demonstrates trustworthiness and responsible behavior.

9. Provides Administrative support to the president.

1. Answers president's telephone and/or greets visitors in a courteous and timely manner.
2. Processes incoming and outgoing mail. Maintains confidentiality of mail addressed to the president.
3. Initiates compose, and accurately types correspondence and administrative documents according to established guidelines. Edits for content, context, accuracy, and consistency
4. Records and distributes minutes and other relevant information to appropriate participants in a timely manner.
5. Uses sound judgment and knowledge of the HCEF and its policies and procedures to respond to questions, requests, or needs.

10. Maintains filing and record keeping system for president.

1. Assesses filing needs and establishes well-organized and accessible filing and record keeping systems in accordance with applicable standards, policies and procedures.
2. Classifies, sorts, files and retrieves correspondence, records and other documents as requested.
3. Maintains confidentiality of records as necessary and follows HCEF policy regarding release of information.

Minimum Qualifications:
A bachelor degree and at least one year of experience performing advanced level administrative support. Excellent knowledge and advanced skills in the use of the Internet, E-mail, Microsoft Office Suite, Excel and Access. . Candidate must be strong in both oral and written communication. Availability to attend evening and weekend meetings and travel.
